Captured by Claudia – Content Creation Agreement

This agreement is made between: Captured by Claudia (“Content Creator”)


and


(“Client”)

Event Details


The Client is booking the Content Creator for an event on the date, location, coverage package, and upgrades as confirmed on the booking invoice.

1. Services

The Content Creator agrees to provide content creation services as outlined in the selected package. This includes candid photo and video coverage, a highlight reel, and lightly edited photos, with all raw content delivered within 24–72 hours of the event (season dependent).


The content captured is dependent on what happens naturally during the event. While every effort is made to capture important moments, no specific shots are guaranteed. The delivered gallery is considered final and not subject to alteration.

2. Payment

  • A non-refundable deposit of 25% of the package price is required to secure the date.

  • The remaining balance is due 4 weeks before the event date (unless otherwise agreed for corporate clients).

  • Payment must be made via bank transfer using the details provided on the booking invoice.

  • Travel is charged at £0.45 per mile (round trip from ST3 3JE).

  • For destination events and UK events requiring an overnight stay, the Content Creator will arrange their own travel and accommodation, with costs invoiced to the Client.

  • Any event over 2 hours from ST3 3JE requires an overnight stay.

3. Delivery

  • Raw content and highlight reel will be delivered digitally via a secure online gallery within 24–72 hours of the event.

  • If, due to unforeseen circumstances, delivery is delayed beyond this timeframe, the Content Creator will notify the Client promptly and provide an updated delivery schedule.

  • One reasonable reel re-edit is included if the request does not involve restructuring the reel entirely. Substantial re-edits or additional reels are charged at £75 each.

  • Content will remain available for download in the online gallery for 6 months. It is the Client’s responsibility to download and back up all files.

4. Communication

  • The Content Creator values open communication and is available for questions at every stage of the process.

  • Communication is structured around key milestones: the initial consultation, booking confirmation, contract, invoice, and a final check-in within 4 weeks of the event to confirm details.

  • Outside of these milestones, the Client is welcome to reach out with questions at any time. The Content Creator typically responds to emails and messages once or twice per week, therefore replies may not be immediate.

  • This approach ensures the Content Creator can remain fully present and dedicated to each event. The Client acknowledges that, during quieter periods, their booking is secure and they will receive the same full attention when their event approaches.

5. Collaboration with Other Suppliers

The Content Creator does not replace the role of a professional photographer, videographer, or production team. The service provided is designed to complement, not substitute, traditional documentation. The Content Creator will work respectfully alongside all other suppliers on the day.


Second Shooter & Associates

Where a second shooter or associate is requested and booked, they will be subcontracted by the Content Creator and work under their direction. All content produced by a second shooter or associate will be delivered by the Content Creator as part of the agreed package. The Client understands that, in some cases, an associate may cover parts of the day on behalf of the Content Creator, but all work will still reflect the Content Creator’s standards and style.

6. Client Responsibilities

  • The Client must obtain permission from the venue or event space for filming, photography, and the use of drones (where applicable).

  • The Client agrees to inform the Content Creator of any restrictions, time limitations, or specific rules at the venue.

  • The Client will ensure that the Content Creator has suitable access to all relevant areas of the event.

  • For events exceeding 5 hours, the Client agrees to provide a substantial meal. If this is not provided, the Content Creator reserves the right to leave briefly to source a meal and cannot be held liable for any moments missed during this time.

  • The Client is responsible for informing their guests that content will be captured during the event. Attendance is considered consent to being filmed or photographed.

7. Cancellation & Rescheduling

  • In the event of cancellation by the Client, the deposit is non-refundable.

  • If cancellation occurs less than 4 weeks before the event, the full balance remains payable.

  • If rescheduling is required, the Content Creator will make reasonable efforts to accommodate a new date. If unavailable, the original cancellation terms will apply.

  • In the unlikely event the Content Creator cannot attend due to illness or emergency, every effort will be made to secure a replacement. If this is not possible, the Client will receive a full refund of monies paid.

8. Copyright & Usage

  • The Content Creator retains copyright to all captured content.

  • The Client is granted full personal usage rights (for weddings/private events) or internal usage rights (for corporate/brand events).

  • For commercial/brand use, separate licensing may apply if content is intended for advertising or paid campaigns.

  • The Content Creator may use selected images and videos for portfolio, website, and marketing unless the Client requests otherwise in writing.

9. Liability & Insurance

  • While every effort is made to capture all key moments, the Content Creator is not liable for missed content due to circumstances beyond their control (e.g. restrictions, lateness, weather, schedule changes, equipment failure).

  • Drone coverage is weather, location, and law dependent. If it cannot be flown safely or legally, no alternative or refund will be provided.

  • Backup systems are used, but in the unlikely event of total data loss, liability is limited to a refund of the package price.

  • The Content Creator holds Public Liability Insurance.

10. Force Majeure

The Content Creator will not be liable for failure to perform due to circumstances beyond their control, including but not limited to fire, flood, natural disaster, acts of government, strikes, or pandemics. In such cases, deposits remain non-refundable but alternative arrangements or rescheduling will be discussed where possible.

11. Artistic Style

The Client acknowledges that they have viewed the Content Creator’s portfolio and are booking based on this artistic style. Editing, shot selection, and overall creative approach are at the discretion of the Content Creator.

12. Overtime

If coverage exceeds the agreed hours, additional time will be charged at £100 per hour (or part thereof), payable within 7 days of the event.

13. Complaints, Reviews & Compensation

  • Any concerns must be raised in writing within 7 days of receiving the gallery.

  • While all complaints will be addressed professionally, the Content Creator does not offer refunds, partial refunds, or financial compensation under any circumstances.

  • The Client agrees not to post or publish false, misleading, or defamatory reviews that could harm the Content Creator’s brand or reputation. Constructive feedback is welcomed and should be addressed directly in writing so it can be resolved professionally.While all complaints will be addressed professionally, the Content Creator does not offer refunds, partial refunds, or financial compensation under any circumstances.

14. Indemnification

The Client agrees to indemnify and hold harmless the Content Creator from any claims, damages, or liability arising from the event, except in cases of proven negligence.

15. Agreement

By signing this agreement, both parties confirm acceptance of the terms above and acknowledge that the event date, location, coverage package, and any selected upgrades are as confirmed on the booking invoice.
